Associated costs and renting with hc lettings
Below is a guide to renting with hc Lettings (HoldenCopley) and any permitted payments involved.
After viewing a property with hc Lettings you may wish to apply to rent it. Upon request we will provide you with an application form where you will be asked questions about your current circumstance. Before your application is accepted we will contact you in writing to outline what is required and to detail each step of the application process. We will also confirm the permitted payments which are due before you sign your Tenancy Agreement and any which may become payable during and after the tenancy.
Below is a list of permitted payments. At any time you are interested in a property, please ask a member of staff for a full breakdown of permitted payments that may be payable before, during and after a tenancy.
Rent: This will be clearly displayed on all advertising and represents the value per calendar month of a property. The agreed rent can be subject to negotiation and may increase or decrease depending on your circumstances and overall property demand. Hc Lettings will confirm and agreed the rent amount with you when considering your application.
Holding deposit (per tenancy)— one week’s rent: This is to reserve a property after you have viewed and had your application accepted by the landlord. This will be withheld if any relevant person (including any guarantor(s) withdraw from the tenancy, fail a Right to Rent check, provide materially significant false or misleading information, or fail to sign their tenancy agreement (and/or Deed of Guarantee) within 15 calendar days (or other Deadline for Agreement as mutually agreed in writing).
Security deposit (per tenancy. Rent under £50,000 per year): Set at a maximum of five week’s rent. This covers damages or defaults on the part of the tenant during the tenancy.
Unpaid rent: Interest at 3% above the Bank of England Base Rate from Rent Due Date until paid in order to pursue non-payment of rent. Please Note: This will not be levied until the rent is more than 14 days in arrears.
Lost keys(s) or other security device(S): Tenants are liable to the actual cost of replacing any lost key(s) or other security device(s). If the loss results in locks needing to be changed, the actual costs of a locksmith, new lock and replacement keys for the tenant, landlord any other persons requiring keys will be charged to the tenant.
Variation of contract terms (tenant’s request): £50 (inc. VAT) per agreed variation. To cover the costs associated with taking landlord’s instructions as well as the preparation and execution of new legal documents.
Change of sharer (tenant’s request): £50 (inc. VAT) per replacement tenant. To cover the costs associated with taking landlord’s instructions, new tenant referencing and Right-to-Rent checks, deposit registration as well as the preparation and execution of new legal documents.
Early termination (tenant’s request) Should the tenant wish to leave their contract early, they shall be liable to the landlord’s costs in re-letting the property as well as all rent due under the tenancy until the start date of the replacement tenancy. These costs will be no more than the maximum amount of rent outstanding on the tenancy.

From the 1st June 2019, the Tenant Fees Act prohibits Landlords and Letting Agents from charging Tenants anything other than permitted costs for renting a property. The following payments are permitted under the Tenant Fees Act:
Before you move in:
Holding Deposit: Equivalent to one week's rent: Monthly rent x 12 / 52
Once your application is accepted in principle, we will take a holding deposit to proceed to referencing. This will be capped at one week's rent and will be held in our designated Client’s account until the tenancy agreement is signed. Once the Tenancy agreement is signed the holding deposit can be used towards the payment of first month’s rent.
Tenancy Deposit: Equivalent to five week's rent: Monthly rent x 12 / 52 x 5
Your deposit will be registered with TDS Custodial – a government accredited scheme – where the funds will be held until the end of your tenancy.
During a tenancy:
Variation, assignment or novation of a Tenancy: £50 including VAT (£41.67 plus VAT)
Changes to tenants named on the Tenancy Agreement
Name changes / detail changes for existing Tenants Addition of a pet (subject to express agreement from the Landlord).
Express permission to run a business from the tenanted address.
Default Fees: Cost to replace a lost key or other security device
Actual costs incurred, including cost of a locksmith or relevant contractor if required
Charges for early surrender of a tenancy: Arrangement fee of £360.00 including VAT (£300 plus VAT) and rent until the start of a subsequent tenancy
Any request for early surrender of the tenancy must be agreed by the Landlord. If the Landlord is in agreement, the Tenants will be expected to cover the Landlords costs for reletting the property.
Rent is payable up to the point a new tenancy commences – capped at the total amount due up to the end of the contract.

Permitted Payments
Before the tenancy – One weeks rent is payable to reserve the property. Should the application be successful, this will be put towards your first month’s rent. Five weeks rent is payable as a security deposit, which subject to Term’s and Conditions of the deposit will be refunded at the end of the tenancy.
During the tenancy – A payment of £50 is payable if you want to change the Tenancy Agreement. A payment of £50 is payable for rent which is paid late exceeding 14 days. A payment of £50 is payable for the reasonably incurred costs of the loss of keys/security devices. A payment equivalent to one months rent +VAT is payable should early release from the tenancy be granted alongside any rent owed.
